Home / Products / Sweep Pre-release document hygiene scanner

The last check before a document leaves the building.

Sweep scans Excel, Word, and PDF files for the things a quick read-through never catches: hidden sheets, tracked changes, embedded objects, password protection, and PII sitting where nobody thought to look. Flag it, clean it, and keep the audit trail to prove you checked.

How Sweep checks a file

What happens when a document goes through Sweep

Upload a file, and Sweep parses its actual internal structure, not just what renders on screen, so it catches what a quick read-through, or even Office's built-in inspector, misses.

Stage 1

Scan & detect

Structural parse

Sweep reads the file's actual container format, hidden sheets, tracked changes, embedded objects, not just what's visible on the page.

Content extraction

Text is pulled from every layer, including hidden sheets and rejected tracked changes, so PII hiding there doesn't slip through.

Password detection

Encrypted or password-protected files are flagged as unreadable rather than silently skipped.

Cross-format, one pass

Excel, Word, and PDF are scanned through the same pipeline instead of three separate native inspectors.

Stage 2

Flag & review

Severity-tagged findings

Each issue is labeled and located: "Hidden sheet 'Pricing_Internal' — 340 rows," "12 SSNs found in tracked changes."

PII detection

Runs across visible and hidden content alike, catching the PII sitting in a sheet or a rejected edit that a manual review would never open.

Review panel

Walk through every finding before deciding what to strip and what to keep.

Fake-redaction check

Flags PDFs where a black box was drawn over text that's still selectable underneath.

Stage 3

Clean & audit

One-click remediation

Strip hidden sheets, accept or reject tracked changes, clear document properties, remove embedded objects.

Original preserved

Cleanup produces a sanitized copy; the original file is never modified in place.

Audit report

An exportable, timestamped record of what was found and what was cleaned, for compliance sign-off.

No retention by default

Uploaded files are processed and discarded, not stored, unless you explicitly opt into keeping a report.

Built to fit how you already work

Rule-based by default. AI when you want broader coverage.

Every scan runs a fast, private, rule-based pass first. Turn on the AI-assisted engine when you need broader PII coverage, nothing about the structural scan depends on it.

Detection engine

Regex-based PII matching by default, no file ever has to touch a cloud AI unless you choose it to; a pluggable AI-assisted engine is available for broader coverage.

Format parsers

Purpose-built structural parsers for .xlsx, .docx, and .pdf, run locally, no dependency on Office or Acrobat being installed.

Report format

Export findings and the audit log as PDF or CSV, whichever your compliance workflow already expects.

Deployment

Run it as a hosted scan, or self-hosted alongside the rest of your Docket deployment.

Built to pass audit

A record your compliance team can point to.

Sweep is built so a team can prove it checked a file, not just that someone eyeballed it before hitting send.

  • Uploaded files are processed in memory and discarded after the scan, not stored, unless you explicitly opt into keeping a report.
  • PII detection defaults to a local rule-based engine; the AI-assisted engine is opt-in, never required.
  • Cleanup always produces a new sanitized copy; the original file is preserved untouched.
  • Every scan and every cleanup action writes to an exportable, timestamped audit report.
  • Parses the file's actual internal structure, not just the rendered page, so hidden sheets and buried tracked changes can't hide from it.
Manual inspection vs. Sweep

What changes when hygiene checks aren't manual?

Word, Excel, and Acrobat each ship a built-in inspector. Here's what changes when one tool covers all three, consistently, with a record to show for it.

Area Manual, per-app inspector Sweep
Coverage Separate tool per file type, run one file at a time Excel, Word, and PDF in one pass
PII in hidden content Flags that hidden content exists, not what's in it Scans hidden sheets and tracked changes for PII directly
Consistency Depends on someone remembering to run it Run as a required step in an outbound workflow
Proof of check No record that an inspection happened Timestamped, exportable audit report per file
